What is a Pro-Rata Salary?
A pro-rata salary is the proportional amount a part-time employee earns compared to a full-time equivalent role. The term “pro rata” comes from Latin and means “in proportion.” It ensures that part-time workers are paid fairly based on the hours or days they work relative to a full-time schedule.
Example Calculation
If a full-time salary is £30,000 per year based on a 5-day working week, and an employee works 3 days per week:
- Pro-rata ratio = 3 ÷ 5 = 0.6 (60% FTE)
- Pro-rata annual salary = £30,000 × 0.6 = £18,000
- Monthly pay = £18,000 ÷ 12 = £1,500
How Pro-Rata Affects Benefits
When an employee works part-time on a pro-rata basis, other aspects of their employment are typically adjusted too:
- Holiday entitlement – part-time workers are entitled to a pro-rata share of the statutory 5.6 weeks (28 days for full-time). For example, a 3-day-per-week employee receives 16.8 days per year.
- Pension contributions – auto-enrolment contributions are based on actual qualifying earnings, so both employer and employee contributions will reflect the lower pro-rata salary.
- Sick pay – Statutory Sick Pay (SSP) is paid at the same flat rate regardless of hours, but contractual sick pay schemes often mirror the pro-rata arrangement.
- Bonuses – many bonus schemes are pro-rated in line with the employee’s FTE, though this depends on the terms of the individual scheme.
